AI voice agents can now answer calls, book appointments and resolve routine questions around the clock. They work best when callers know they are talking to an AI from the first sentence. The EU AI Act requires that disclosure for systems used in Europe, and it is good practice everywhere.
Why disclosure helps rather than hurts
People adjust how they speak when they know it is an assistant: they are more direct and more patient. Discovering halfway through that a "person" was a machine damages trust far more than an honest opening line ever could.
Designing a good hand-off
- Offer a person at any time, with a simple phrase or keypress.
- Pass the context along, so the caller never has to repeat themselves.
- Escalate automatically for complaints, emergencies and anything sensitive.
- Outside office hours, take a message and promise a call back, then keep that promise.
Logs, privacy and quality
Every conversation should be logged so you can review quality, fix mistakes and answer complaints. Those logs contain personal data, so tell callers about recording, keep logs only as long as needed and restrict who can listen to them. A short daily summary of what callers asked for is one of the most useful things a voice agent gives you: it shows exactly what your customers want.
