Generic AI chatbots answer from what they learned on the public internet. Ask one about your own warranty terms or your plant's maintenance procedure and it will guess, often confidently and often wrongly. A company AI brain works differently: it searches your own documents first and answers only from what it finds.

How it works

Your manuals, procedures, price lists, contracts and past tickets are split into passages and indexed. When someone asks a question, the assistant retrieves the most relevant passages and writes an answer based on them, with links back to the source. If nothing relevant exists, a well-built assistant says so instead of inventing an answer.

What makes it trustworthy

  • Sources on every answer, so people can check before they act.
  • Permissions that mirror your existing access rules, so a sales trainee cannot read HR files.
  • Personal data handled in line with the DPDP Act and, where relevant, GDPR.
  • A clear owner who keeps documents current, because the assistant is only as good as what it reads.

Where it pays off first

Teams that answer the same questions repeatedly benefit most: customer support, field service engineers looking up procedures, sales teams checking specifications and new employees learning the business. Start with one team and one well-maintained document set, measure how much time it saves, then expand.
